Privacy Policy
Effective October 5, 2026 · Updated for version 1.1
This policy explains what Toastmasters Hub ("the app," "we") collects and how it's used. The app is run by Replay Media Group, Inc. Questions: amaniaci7@icloud.com.
What we collect
- Account details you enter: your name and email address, and the club you join.
- Optional profile details: photo, position or title, bio, a link to a speech outline you choose to share, gender, time in Toastmasters, goals, and phone number, only if you add them.
- Content you post: group and direct messages, photos and PDF files you choose to share in the chat or in private messages, meeting schedules (photos, screenshots or PDFs), RSVP responses, presentation and resource links, and Word of the Day and speech details. The app only accesses your camera or photo library when you choose to share something, and only the items you pick are uploaded.
- Reports: if you report content, we keep the report and the reported content.
- Notification settings and device token: if you turn on notifications, we store a notification token for your phone or browser (issued by Apple, or by your browser for the web version) along with your notification choices. It's used only to send you club notifications.
- Club roles: who is the club's organizer and co-organizers.
- Online status: when you last had the app open, so club members can see who's active. You can hide this anytime in Settings (Show Online Status); when it's off we don't record it.
We don't collect location, contacts, advertising identifiers, or analytics, and we don't track you across other apps or websites.
How it's used
Only to run the app: showing your club's chat, schedules, RSVP, and member list to other members of your club, handling reports, and sending the notifications you've turned on (for example, your RSVP role, reminders, open roles, and private messages). Members of your club can see your name, profile details, and what you post in the group. Direct messages are visible only to you and the person you message.
Sharing
We don't sell or rent your information, and we don't share it for advertising. Data is stored with our hosting providers (Vercel and Upstash) only to operate the app. Notifications are delivered through Apple Push Notification service (iPhone) or your browser's push service (web version); they receive only the notification text and your device token. The optional Word of the Day lookup sends the word you type to the free Dictionary API (dictionaryapi.dev); nothing else is sent with it.
Retention and deletion
Chat history keeps the most recent 500 group messages. Each week's RSVP clears automatically after the meeting date. Notification tokens are deleted when you sign out, leave the club, or delete your account, and when Apple or your browser reports they're no longer valid. You can turn notifications off anytime in your profile or in your iPhone's Settings. You can leave a club or delete your account anytime in the app (profile picture, then Leave club or Delete My Account). Delete My Account permanently removes your profile, photo, messages, links, and notification tokens. You can also email us to request deletion.
Children
The app isn't directed to children under 13, and we don't knowingly collect their information.
Changes
If this policy changes, we'll update this page and the effective date.
